I faced the same problem when I started researching this agency. So this Arvana review covers everything I found across their site, the German commercial register, review platforms, and the Forge Expert directory.

Arvana GmbH is a Berlin agency that says it runs about 30 people. It sells two things: paid ads and signal-based email plus LinkedIn outreach. Most clients are B2B software and IT companies in German-speaking markets.

Hire Arvana if you sell B2B software or IT services into DACH, want paid ads and email plus LinkedIn outreach from one Berlin team, and can live without a meeting guarantee.

Two things support this verdict. First, the review footprint is real and mostly positive. There are 65 Google reviews aggregated at 4.76 out of 5, plus 10 verified Sortlist reviews at 5 out of 5.

Second, their outreach page reports countable numbers: 12+ meetings and €130,000+ pipeline value per month for one client, and 40+ booked appointments with six closed customers for another.

One thing holds it back: missing answers.

  • No pricing on the site.
  • No definition of a qualified appointment and no guarantee.
  • Their FAQ describes their own domains and mailboxes, with no exit terms.
  • Three critical 2026 reviews, all about outreach.

So treat this as a conditional yes. Book the call, get the appointment definition, domain ownership, and total monthly cost in writing, and sign only if you get all three. If any answer is vague, look at other certified agencies here.

I have not been an Arvana client, so this review is research-based.

I read their English homepage, outreach page, paid ads page, about page, success stories, the Trovarit and IVY case pages, and their imprint. I checked the German commercial register entry through public listings, including Creditreform and North Data.

I read the Google reviews aggregated on ReviewHero, the Sortlist profile, and the Trustpilot page under their old domain. I searched Clutch and G2.

I judged them on four things: infrastructure ownership, lead qualification, contract terms, and whether the numbers hold up. Everything below marked "reports" or "says" comes from their own published material.

Arvana sells one outcome: more qualified first meetings for B2B tech companies, delivered through two services.

Signal-Based Outreach

This is the cold email and LinkedIn outreach service. Their outreach page describes a target group workshop and up to five lead lists from several B2B databases. Segments are cut by industry, persona, revenue, and geography.

They say lists are enriched with AI and scraping tools and contacts run through parallel email and LinkedIn sequences. Replies are pre-sorted Hot, Warm, or Cold before a Slack or email alert reaches you. Their FAQ says the first campaign goes live just under three weeks after kickoff.

Paid Ads

The paid ads service covers Google, Microsoft, LinkedIn, and Meta. Their paid ads page reports managing over €10M in ad spend and says new assets are produced every two weeks.

Their headline paid ads result comes from one IT service provider spending €40k a month. After six months: 66% more qualified leads, 36% lower cost per SQL, and 14% better closing rates. Their FAQ says cost per lead can improve in month one, while pipeline takes three to six months.

Reporting and CRM Integration

Their FAQ says you get a login showing contacts reached, emails sent, open rates, and positive replies. The homepage lists Clay, OpenAI, Make, Looker Studio, HubSpot, Pipedrive, and Salesforce as the stack. The footer carries a Smartlead logo, and their Sortlist profile lists a 2024 Smartlead partnership.

Ask which tool sends your emails and whether your login shows raw data or a summary.

How Arvana's Process Works

Discovery and ICP Definition

It starts with a free strategy call. Their page says a target group workshop then sets the messaging and segments by industry, persona, revenue, and geography.

Ask which B2B databases feed those lists. Bring your own ideal customer profile written down, so the workshop refines it rather than inventing it.

Prospect List Creation

They say up to five lead lists are built, enriched, and checked against your CRM or blacklist. Their FAQ says you see the list before anyone is contacted, and they rebuild it if the criteria miss.

Ask to see a sample list before launch. Even a quick check of 50 rows will tell you more than any sales call. The June 2026 complaint was about outdated data.

Copy and Campaign Approval

Their FAQ says drafts come to you first and nothing you dislike gets sent. Personalization runs on AI tools, with new campaigns and A/B tests added continuously.

Ask for approval rights in the contract, not just the FAQ. Then ask whether the sequences use spintax, so 300 prospects don't receive identical copy.

Campaign Launch

Their FAQ says they never send from your primary domain. They create secondary domains that redirect to your site, set up mailboxes, and warm them for about two weeks. That is why go-live takes about three weeks.

Ask who is the registrant on those domains. Two weeks of email warm-up is standard. The reputation you build belongs to whoever holds the domain.

Reply Handling and Meeting Booking

They say replies are sorted Hot, Warm, or Cold by the Arvana team, and you are notified through Slack or email. Their page says they book the meetings for you.

Ask who replies to an interested prospect and how fast. A warm reply that waits two days is a cold reply.

Reporting and Optimization

They describe weekly meetings, new campaigns, and a workspace login with all KPIs. Their homepage adds CRM or dashboard reporting with qualified and unqualified leads separated.

Ask for their written definition of a qualified lead before the first report. If the definition changes, the chart changes.

Arvana Pricing and Contract Terms

Arvana does not publish prices. Their outreach FAQ says they charge a monthly retainer with no minimum term. Their own comparison table lists their cost as depending on the channel. The same table puts an in-house SDR at 5,000 or more per month and a marketing agency at 8,000 or more including media budget.

The only price signal I found is on their claimed Sortlist profile: online advertising from €3,000 per project and email marketing from €5,000. Treat those as floors entered by the agency, not quotes. Comparable managed cold email agencies tend to charge monthly retainers in the low four figures.

What's Included at Each Price Point

There are no published tiers. Their outreach page describes strategy, list building, technical setup, copy, sending, reply sorting, weekly reviews, and dashboard access. Their paid ads page describes campaign build, landing page tracking, creatives, and weekly evaluation.

No guarantee is attached to either service. The word "qualified" appears often and is defined nowhere. Get their definition and a monthly target in writing.

Hidden and Additional Costs to Watch

  • Media budget. Ad spend is normally billed on top of an agency retainer. Ask whether their fee scales with spend.
  • Domains and mailboxes. Their FAQ says they create both. Ask who pays and who owns them.
  • Data and enrichment credits. Five lead lists from several databases cost money somewhere. Ask if credits are included.
  • Setup or onboarding fees. Not mentioned on the site. Ask directly.
  • LinkedIn accounts or Sales Navigator seats. LinkedIn outreach runs from someone's profile. Ask whose, and who pays.
  • Who keeps the domains and lists at exit. Nothing on the site says. Get the transfer terms in the contract.

If the agency owns your sending domains, leaving them means starting your deliverability from zero.

Who Should Not Hire Arvana?

  • Companies that need cold calling in the mix. Arvana lists no calling channel.
  • Teams selling mainly to the US, UK, or Nordics. All published proof is DACH.
  • Buyers who need a contractual meeting count or a refund clause. None is offered.
  • Anyone who must own their sending domains from day one and cannot get that in writing.

Two things stand out. The vertical range is wide: ERP consulting, fintech, no-code SaaS, solar, and IT training all appear. And the hardest numbers sit on anonymized cards, while named case pages read as narrative.

The IVY fintech page reports better lead quality and lower cost per lead without a single figure.

One derived number: 12+ meetings against €130,000+ pipeline works out to roughly €10,800 of pipeline per meeting. That implies mid-market deal sizes, so ask which end of their client base your campaign is modeled on.

One card mismatch too. The second outreach results card is headed as outreach to industrial and mechanical engineering customers, but its listed target group is B2B software companies and IT service providers. These are company-reported numbers that no independent platform has verified.

Arvana Limitations to Consider Before Signing

  • No public pricing: Nothing on the site, and their own comparison table leaves their column open. Ask for a full monthly figure including domains, data, and ad spend.
  • Undefined qualification and no guarantee: "Qualified" is never defined and no volume is promised. Get both in writing, plus what happens if the number is missed.
  • Domain ownership: Their FAQ describes "our own domains and mailboxes." Ask for a clause transferring domains, mailboxes, and lists to you at exit. Good email deliverability is an asset you should keep.
  • Inconsistent self-reported numbers: Their pages cite 100+, 150+, 200+, and 1,000+ campaigns in different places, partly for different scopes. The success stories page says 150+ clients at the top and 200+ B2B companies lower down. The about page gives Schönhauser Allee 180 as the office; the imprint and register give Rosenstraße 16/17. Their Sortlist profile says founded 2020 in one field and 2021 in another; the register entry dates from January 2022. Ask which figures are current.
  • Outreach-specific complaints: All three critical 2026 reviews target the outreach product. Ask for two outreach-only references from the last twelve months.
  • DACH-only proof and no calling: Fine if that is your market and channel mix. A gap if it is not.

Arvana is worth considering if you sell B2B software or IT services into German-speaking markets. It fits teams that want paid ads and email plus LinkedIn outreach from one partner.

What sets them apart is the combination. Their paid ads practice reports over €10M in managed spend. Their outreach practice reports 12+ meetings a month for one client, and their FAQ promises no minimum term. I'd shortlist them for a DACH SaaS or IT consulting campaign where a German-speaking team and a fast exit matter more than a guarantee.
